A retail renovation quotation should describe the shop you intend to operate. Display joinery, lighting, payment systems and landlord interfaces can vary substantially between proposals that share a similar total or a price per square foot.

These eight checks focus on making retail fit-out scopes comparable. They support a buying decision after a business brief exists, rather than replacing pre-lease checks or technical assessment of the premises.

1. Issue one current retail brief

Share the product range, proposed layout, stock needs and operating model with every firm quoting. Mark which items are supplied by the owner and which must be designed or installed. Identify the version being priced.

Without a common brief, a quotation may exclude work simply because the supplier assumed a different operation. Resolve important unknowns and record remaining assumptions before treating the totals as directly comparable.

2. Schedule each display element

List wall systems, freestanding fixtures, glass cabinets and the payment counter separately. Show dimensions, intended products and required access. Confirm proposed finishes, fittings and relevant loading assessment rather than comparing only total joinery length.

Specify what must be flexible for future merchandise changes. An attractive fixed display and a modular system can carry different costs and benefits. The quotation should make that choice visible.

3. Coordinate lighting with merchandise

Ask the proposal to distinguish fittings, controls, installation and electrical work. Show the display locations and discuss how the intended products will be lit. A general lighting allowance may not reflect the actual shop design.

Have the relevant electrical requirements assessed by the appropriate professional. Keep selected fitting specifications and any trial or sample review identifiable so later substitutions do not silently alter the agreed visual and operational result.

4. Name shopfront and signage boundaries

Clarify what is included in glazing, doors, signage and their relevant supporting work. Check landlord requirements and any further approvals with the responsible parties. A sign’s supply price may not cover its installation or electrical interface.

Record who prepares the required information and follows up on comments. Do not treat an outgoing tenant’s shopfront or a nearby unit’s design as proof that the new proposal is acceptable.

5. Separate equipment and specialist systems

Identify POS equipment, data, security and other relevant systems, including items supplied separately. Confirm the division between purchase, installation and coordination. A counter opening does not itself establish that the planned equipment can operate there.

Share model information before custom fixtures are fabricated. If a specialist supplier is appointed directly, make its site and connection requirements available to the fit-out team early.

6. Include access, protection and removal

Review the unit’s starting condition and identify removal, disposal, delivery, protection and making good. Ask how building access arrangements affect the actual programme and cost. Do not assume every contractor has priced identical working conditions.

For retained elements, record condition and suitability questions. If the business remains in operation, use a separate trading-work plan rather than treating an ordinary empty-unit quotation as sufficient.

7. Distinguish fixed scope from allowances

Ask which amounts are based on selected products and which remain provisional. Record the quantity, specification or investigation needed to resolve each allowance. Compare exclusions alongside inclusions.

When an option is accepted, request a consolidated revision. Several scattered additions can make the real commitment difficult to see. The final proposal should show the same layout and selections as the current design documents.

8. Agree opening-readiness and handover tasks

Ask what commissioning, inspection coordination and documents are included in the fit-out scope. Separate renovation completion from the business’s own stocking, staffing and operating steps. Check how outstanding items will be recorded and followed up.

Review payment milestones and the written change process before signing. A comparable quotation should leave the owner clear about responsibilities at completion, not only the appearance of the shop.

Compare the options

Option Useful when Resolve first
Cosmetic retail refresh Suitable fixtures and services remain Retained condition and making good
New display-led fit-out Merchandise needs a different presentation Fixture schedule and coordinated lighting
Service-intensive retail Equipment and specialist work matter Explicit technical and supplier interfaces

A practical planning example

Illustrative example: two shop proposals include the same wall-display length. One prices simple shelves; the other includes adjustable fittings and integrated lighting. The owner supplies a common display schedule and asks both firms to reprice the selected arrangement. The comparison then reflects the intended store. No standard retail rate, saving or opening date is implied.

Frequently asked questions

Is a per-square-foot figure enough?

No. Use it only with a clear description of condition, fit-out scope and specification.

Should signage be separate?

It should at least be identifiable, including installation, relevant connections and landlord interfaces.

What makes quotes comparable?

A shared brief and current drawings, matching quantities, defined specifications, responsibilities and exclusions.
